Agenda for the Annual Meeting of the Council to be held on Monday 18 May 2015 at 7.30 pm in the Schoolroom, Snape Methodist Church

  1. Election of Chairman and signing of documentation
  2. Apologies for absence – to receive apologies – Cllr David Webster
  3. Declarations of interest – to receive any declarations of interest in agenda items
  4. Minutes – to agree and sign the minutes of the meetings held on 31 March (copies attached)
  5. Matters arising
      1. Avenue Report – To agree way forward with community consultation
      2. Outstanding planning matters – see copy e-mail attached
      3. Asset Transfer of playing field – to note progress
  6. Financial matters –
  • To approve the receipts and payments since the last meeting (see below)
  • To note hours of work undertaken by the Clerk since the last meeting (see below)
  • Insurance cover
  • To receive final accounts and to agree annual governance statement ready for submission to the external auditor (papers attached)
  • To consider the setting up of a separate bank account for the playing field
  • To agree the financial allocation to the playing field for 2015/16
  1. Playing Field Committee –
    1. Appoint the membership of the Committee as per the terms of reference
    2. Report from Committee meeting on 13 May – verbal report
  2. Transparency and Openness – creation of a website for the PC; guidance from YLCA – to agree way forward (see attached)
  3. Asset Register – to agree the asset register (see attached)
  4. Risk Assessment – to agree the risk assessment for the PC (see attached)
  5. Financial resolutions – to review and update as necessary (see attached)

  7. Annual Open Meeting – to discuss any items from this meeting and agree any action necessary (see draft minutes attached):
